Sharing & Collaboration

Sharing & collaboration overview

Play is built for teams. You can share apps, chats, knowledge, and collections or data across your workspace, with access controlled at several levels.

What you can share

  • Apps

  • Chats

  • Knowledge

  • Collections / data

How access works

Play uses layered access controls:

  • Workspace role — Admin or Member

  • App access — Editor or Viewer

  • Group level — Share with groups instead of individuals

  • General access — Invite only, workspace members, or anyone with the link

Core concept

Inviting someone to an app can also invite them to the workspace. If they are not already a member, Play walks you through adding them and shows any seat costs that apply on your plan.

What to keep in mind

  • Use the most restrictive access level that still works for the people who need it.

  • Use groups when you want to manage access at scale.

  • Check the invite flow carefully before confirming, especially when the person is new to your workspace.
